Here at The Isle of Wight College we work with a number of employers, in a vast array of industries. A fantastic opportunity has arisen to work at Wightlink as a Business Administrator Level 3 Apprentice.

Wightlink and its forerunners have provided ferry services to and from the Isle of Wight for more than 160 years.  This vacancy is a high profile and pivotal role in a small team with a wide range of responsibilities that are vital to the smooth running of the business.  Based at their Gunwharf terminal in Portsmouth, the role will be to provide administration support across a range of activities to the Engineering and Estates (E&E) department.

Tasks and responsibilities will include:

  • Updating and distributing weekly timesheet, annual leave records and movements list for the E&E and SHE departments
  • Administration of the E&E SharePoint hub
  • Receiving all fuel bunker receipts, delivery notes and invoices and updating fuel spreadsheet. Coding invoices and getting them authorised to be paid
  • Creating fuel packs at period end for Finance Manager and Payroll Supervisor.
  • Data entry into Excel spreadsheets – Engineering availability report and fuel and sailing numbers
  • Administration associated with engine and deck log books
  • Creation of monthly board report using PowerPoint
  • Maintaining appropriate filing systems – both paper-based and digital
  • Archiving documentation
  • Taking part in Tools for the Job project with a small team
  • Weekly chart correction notices and upkeep of office chart folio
  • Covering the mail duties
  • Providing administrative support for the Safety meetings
  • Administration of Pockit pre-paid cards
  • Ordering yearly diaries
  • Assisting with department administration and providing support to colleagues
  • Registration of spare EPIRB for refits
  • Administration of invoices and service reports
  • Administration of CAPEX forms process
  • Administration of pre-refit meetings
  • Assisting the Training Manager with uploading courses to the e-learning facility
  • Provide spare IMO signage to ships
  • Completing projects assigned by the Head of Engineering and Estates

 

 

 

Personal, Essential Qualities:  

  • Good literacy and numeracy skills
  • PC literacy
  • Use of MS Office 365 software (Excel, Outlook, Word, SharePoint, One Drive, OneNote, PowerPoint)
  • Organisational & Time Management skills

Qualifications Required:

GCSE grade C/4 or above in English & Maths (or equivalent qualification and/or ability to work towards these Functional Skills) 

Apprenticeship Standard:

  • Level 3 Business Administrator Apprenticeship Standard
  • Functional Skills in Maths and English if required and not previously achieved GCSE grade 4 or above
  • There is a requirement to complete 20% off the job training, College attendance will contribute but time spent either learning something new, other courses or any support work that is not in your usual role will also be counted

Working Week

  • 35 hours per week
  • Monday to Friday

Wage

  • £230 per week

The apprenticeship will typically take between 18 and 21 months to complete.

The current National Minimum Wage (NMW) rate for apprentices is £4.30 per hour. This applies to 16-18-year-old apprentices and those aged over 19 in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training. Once qualified and following on from successful completion of the Apprenticeship, a permanent position may be available for the successful candidate depending on suitability and need at the time.
